Self-managed webinar options and pricing

If you or your group would like to pay to use your own webinars.

This article refers to webinar licensing options for users or groups who want to create and curate their own webinars by purchasing their own license(s). If you want to explore options where you can book a shared webinar license through the Learning Technology Services (LTS) group, then please refer to the information found here.

Webinar Information

Anyone at York University who currently holds a license for Zoom can hold meetings for 300 concurrent users. There may be times where either the capacity or the functionality of a standard Zoom meeting will not accommodate your plans, but a webinar would. Zoom does offer webinar licensing, but it is only offered as a premium feature, and is available at a recurring cost to you as an annual subscription.

You will get the following features when purchasing a webinar license:

  • 100 interactive video panelists, 49 viewable on screen at one time
  • Screen Sharing from panelists (even videos with audio)
  • Q&A with the ability to like and up-vote questions
  • In-webinar text-chat
  • Polling
  • Attendee and webinar performance reporting
  • Language Interpreter support (Interpreters not supplied by Zoom or York)
  • (You have to supply the interpreter(s))
  • Source tracking (up to 50 sources)
  • Mute/unmute panelists
  • Promote attendees to be panelists
  • Whiteboarding and annotation tools
  • Customizable branded registration pages
  • Pre and post-webinar reminder emails
  • Practice session for pre-event panelist prep
  • Post-event survey link
  • Recordings and transcripts
  • Integration with CRM and marketing automation applications with registration and attendee information
  • Live streaming to unlimited audiences on Facebook Live, YouTube, and custom streaming services

Important

The webinar license is assigned to a single user. The user is the Passport York (PPY) account of an individual. Webinar licenses cannot be shared through a group of users. Therefore, in group-ownership settings, a delegate will need to be established as the webinar owner/coordinator.

If you would like to go forward with ordering a webinar license for you or your group, please contact us at askit@yorku.ca. To speed up processing time, please indicate the budget number that you want the billing to go to. Please expect your webinar request to take approximately four (4) business days to complete. The time accommodates for administrative work on both York University's, and Zoom's side.

Note that if you have a webinar plan, but you would like to either upgrade or downgrade it, you will have to add an extra one to two business days to process the request. Times fluctuate based on the availability of individuals needed in order to change the plan, etc. Also, please consider holidays in both Canada and the United States (USA) when booking or planning to purchase or change webinar licensing. Zoom representatives are based in the USA and could be on holiday at the time your purchase or change-request needs to be expedited.
